The PSHQ Document Manager is a standalone system with data fully integrated into HiBob. It can be accessed directly from HiBob, allowing documents to be generated immediately using the correct employee details.
Your HiBob data
Name, position, start date, contract type: the personnel data in HiBob automatically forms the basis for every document you generate. No retyping, no copying.
Document generation
Templates in the online editor, populated with your HiBob data. One document or a hundred at a time.
Digital signing
With automatic reminders and multiple signers. The employee signs online, on mobile too.
Workflows
Approval, review and confirmation steps, with live status and notifications, so nothing is left behind.

Is the PSHQ Document Manager a completely new product?
No, the PSHQ Document Manager is powered by Foci. On the Foci platform, the Document Manager has been used for some time in combination with other HRIS solutions. Together with Foci, PSHQ ensured the integration with HiBob.
Do we need the PSHQ Document Manager if we already have HiBob?
HiBob offers excellent people management, but the built-in functionality for document generation, digital signing, retention policies, and document management is not designed for complex processes or organizations. The PSHQ Document Manager fills exactly that gap, fully integrated into HiBob so you do not have to switch systems or copy data.
Can we set up and maintain the PSHQ Document Manager ourselves?
The PSHQ Document Manager is an extension available exclusively through People Services HQ. Implementation, configuration, and HiBob integration are handled by our team based on your specific situation. After that, you manage the daily configuration yourself: you develop new templates, modify existing ones, and adjust retention policies, without external support. Of course, PSHQ is ready to assist if you wish to roll out new functionality or further develop your setup.
How long does the implementation take?
Our proven approach consists of four phases: Prepare, Realize, Accept, and Deploy. The turnaround time is a maximum of 12 weeks, with fixed milestones and a go/no-go decision point in week 10. You always know where you stand and when you will go live.
What happens to our existing documents?
We support mass uploads of digital documents from SharePoint, OneDrive, on-premises systems, and cloud HR systems. Your existing files are transferred seamlessly. For paper archives, we will discuss the best approach for your situation during the implementation.
Which e-sign providers are supported?
The PSHQ Document Manager integrates with DocuSign, Adobe Sign, Scrive, and ValidSign. During the implementation, we discuss which provider best suits your situation, authentication requirements, and existing contracts.
Is the PSHQ Document Manager GDPR compliant?
The PSHQ Document Manager is designed with compliance as the standard. You set retention policies per document type, in accordance with your specific laws and regulations. Documents are only deleted after your explicit approval. The full audit trail is always available.
